Administrative Support Supervisor (Full-Time, Honolulu)

Job Description:
The Administrative Support Supervisor is responsible for the overall administrative functions of the organization and oversee the support of the President and CEO. Coordinates administrative support and related office operations directly and/or though managers. The Administrative Support Supervisor establishes procedures, practices, and work methods to increase administrative work effectiveness and efficiency. Supervises the Administrative Assistants and Administrative Specialists. Evaluate and analyze current operations to identify, recommend, and implement process improvements such as supply changes or the disposal of records. Provides guidance, coaching, training, and support to the Administrative Assistants and Administrative Specialists. Oversee the auto-referrals process. Manage and monitor office supplies and the purchasing of new material with attention to budgetary constraints for all departments. Oversee facilities services and maintenance activities. Organize and supervise other office activities (recycling, renovations, event planning etc.) Maintain list of interpreters, childcare providers, and vendors to ensure all necessary paperwork are complete.


Education/Skills/Experience:
Minimum Requirements: Must have an Associate’s degree in a related field from an accredited institution of higher learning. Bachelor’s degree preferred; and a minimum of three (3) to five (5) years related experience and/or training. Proven experience as an Office manager, or Administrative Supervisor. Knowledge of office administrator responsibilities, systems and procedures. Excellent organizational and multitasking abilities. Attention to detail and problem solving skills. Team player with a positive attitude and the ability to interact with all levels of the organization. Demonstrated ability to exercise sound judgement, be self-directed and work with minimal supervision. Ability to thrive in a highly collaborative workplace with colleagues of diverse backgrounds and perspectives. Ability to manage time effectively and meet deadlines. Committed to quality and performance improvement. Excellent verbal and written communication skills in person and on the phone are required for this position. Proficient use of Microsoft Word, Excel and Outlook are required. Successful criminal and child abuse and neglect background clearance as required by state regulations for those who work with children and families in the Child Welfare System.
